Privacy Policy
This Privacy Policy explains how OrashCat LLC(“EveryHello,” “we,” “us,” or “our”) handles personal information when you visit our site, create an account, use our AI front desk, or communicate with us.
1. Our role
EveryHello acts as a business or controller for account, billing, site, and direct-sales information. When a customer uses EveryHello to communicate with its own contacts, that customer generally determines why and how the contact’s information is used; EveryHello processes it on the customer’s behalf.
2. Information we collect
Account and business information
- name, email address, login and authentication information;
- company, team, service areas, services, hours, and business preferences;
- WhatsApp Business connection details, such as business name, account identifiers, and authorized-representative information;
- subscription, transaction, and limited payment-method details from our payment processor;
- support requests, feedback, and communications with us.
Customer-conversation information
- phone numbers, names, email addresses, and other contact details;
- WhatsApp, web-chat, and other message content and attachments;
- appointment details, conversation status, routing, notes, and handoff context.
Technical and usage information
- IP address, browser, device, timestamps, diagnostic logs, and security events;
- feature interactions, page visits, referring pages, and conversion events when analytics consent is given;
- cookies and local-storage choices described in our Cookie Policy.
3. How we use information
- provide messaging, web chat, booking, inbox, and team-handoff features;
- authenticate users, manage accounts, process payments, and provide support;
- generate AI responses and retrieve relevant customer-approved knowledge;
- maintain, secure, troubleshoot, and improve the service;
- measure site performance and marketing attribution with consent where required;
- comply with law, enforce our agreements, and protect users and the public.
4. How we disclose information
We disclose information only as needed for the purposes above, including to:
- cloud and database providers, including Supabase and Vercel;
- AI providers, including OpenAI, to process prompts and produce responses;
- communications providers, including Zavu, Meta, and underlying channel providers;
- payment and email providers, including Stripe and Resend;
- operations providers, including Trigger.dev and monitoring or security vendors;
- professional advisers, authorities, or transaction counterparties when legally required or reasonably necessary.
We do not sell personal information for money.
5. International processing
EveryHello is based in the United States. Our initial commercial service is offered to US businesses, but information may be processed in the United States and other countries where our providers operate. Those countries may have different privacy laws from your home country. Where required, we use appropriate contractual or legal safeguards for cross-border transfers.
6. Retention
We retain information for as long as reasonably necessary to provide the service, comply with legal and accounting obligations, resolve disputes, and protect the service. Retention depends on the data type, account settings, customer instructions, and applicable law. Customers may request deletion or export of eligible conversation and contact data by contacting us. Backups and security logs may remain for a limited period.
At the time of this update, Zavu documents a 90-day default retention period for its operational communications data, with configuration up to 180 days where available. This provider window does not by itself determine how long EveryHello or a customer retains a conversation record. EveryHello retention follows the purposes, settings, instructions, and legal requirements described above.
7. Security
We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls and encryption in transit. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
8. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or obtain a copy of personal information, and to withdraw consent. You may also appeal certain decisions or lodge a complaint with a regulator. We may need to verify your identity and may retain information where the law permits or requires.
If your information was provided by a business using EveryHello, contact that business first. We will assist our customer with verified requests as required.
9. Children
EveryHello is a business service and is not directed to children under 13. We do not knowingly collect personal information directly from children for account creation.
10. US state disclosures
Residents of certain US states may have additional rights under state privacy laws. EveryHello does not use sensitive personal information to infer characteristics and does not sell personal information for money. Analytics or advertising measurement may be considered “sharing” or targeted advertising in some jurisdictions; you can decline it through the cookie choices on our site.
11. Changes to this policy
We may update this policy as the product or legal requirements change. We will post the new effective date and provide additional notice when a change is material.
